Folder Packs for NetDocuments

One of the limitations to the native workspace template features in NetDocuments is the inability to create nested folder structures. You can pre-define a set of folders to be included but it is limited to just one level. For better or worse, many users want to have a more elaborate structure created automatically to manage their workflow. Historically, customers looking to satisfy this request had to invest in a 3rd party tool or custom development.

NetDocuments is evolving to meet this need. They have introduced and released the initial phase of Folder Packs. As with any great SaaS offering, the release was quietly and seamlessly part of the October 21st R21 web refresh. The best part, it is not a paid add-on! All NetDocuments customers now have the ability to leverage Folder Packs as part of their workspace strategy.

The initial release of Folder Packs allows Cabinet Administrators to create Folder Packs and then assign them to workspace templates. New workspaces will include the defined folder structures and existing workspaces can be refreshed to include them. Later phases will allow administrators and users to add Folder Packs to existing workspaces.

If you are looking to start using Folder Packs, you will find a link at the top of each Cabinet administration page.This link will take you to the Folder Pack administration page for creating and editing Folder Packs.

Once you have created one or more Folder Packs, you can associate them with your workspace templates using the ‘Add Folder Pack’ link and enabling the desired Folder Packs. Any Folder Packs associated with a workspace template will display in the ‘Folder Packs’ section as shown below.

A couple points to keep in mind with this initial release:

  • Folder Packs will inherit workspace metadata and security. You cannot assign separate metadata and security to the Folder Pack templates. Assigning custom metadata and security is on the roadmap.
  • Folder Packs cannot conflict with the names of other folders in a workspace template. Any conflict would need to be resolved before you can associate a Folder Pack with a workspace template.
